YOUR FUTURE MISSION IN THE OFFICE MANAGEMENT TEAM  

The Office Management Assistant helps oversee and manage the day-to-day operations of a building or facility. Although the responsibilities of the office management assistant may vary depending upon the organization, there are some common duties. Office Management assistants helps and answer all colleagues’ requests, handle building maintenance, deal with the SST rules and, the most important of all, focus on the company values and its greater richness: Cardif’s people.

Main Functions:

  • Reception desk (receiving/forwarding visitors, suppliers, goods, phone calls…) 
  • Management and overseeing of building maintenance activities and works; 
  • Management of health and safety at work legal requirements;
  • Contribute to reduce risks and incidents; 
  • Manage accesses (smartcard creation/removal, employees, suppliers, visitors);
  • Procurement for goods and services: assess the market, compare costs and conditions to facilitate decision; 
  • Manage orders to suppliers and follow up; 
  • IT Procurement (RFP and contracts management); 
  •  Procurement (management of local RFP and contracts management); 
  • Manage orders and keep purchase records; 
  • Invoice validation; 
  • Ensure tidiness, cleanness and products replacement of/in the work spaces (coffee corners, meeting rooms, print corners etc…) ;
  • Manage travel bookings;
  • Organization of events and caterings;
  • Write and update procedures; 
  •  Issuance of internal communications; 
  • Organize /create /update digital folders, maps and reports;
  • Archives;

AS OUR NEW OFFICE MANAGEMENT ASSISTANT, YOU MUST HAVE: 

  • Bachelor’s degree ;
  • 6 months of experience in a similar role;
  • Very good level of English;
  • Digital advanced skills: Microsoft Word, Excel, Power Point and Teams;

  • The IT Project Management Officer’s mission consists in contribute to the definition, design and implementation of a solution that meets a requirement expressed by a stakeholder, taking into account the resources allocated, the deadlines, budget,  compliance rules and the Group’s applicable best practices

About the job

  • The RMA Due Diligence Officer’s mission is to be responsible for performing due diligence in counterparties from all Group entities in order to contribute to protect the Bank against reputational, Anti-Money Laundering (AML/CFT) and Fraud risks

Your Main Activities Are

  • Performing Due Diligences on counterparties upon request for opening of RMA Keys (Onboarding)
  • Performing Due Diligences on counterparties with a pre-existent RMA Key according to the Recertification plan
  • Collection documentation for both Onboarding and Recertification scenarios (upon request, retrieving from licensed tools or online investigation) in order to identify the counterparties based on the proofs of existence and to identify the items to screen (related entities and individuals). Also, ensure data and documents are received (this may include a follow up) and archived properly
  • Screening of counterparties and the related entities/individuals, on internal and licensed tools, for both Onboarding and Recertification scenarios, in order to identify eventual sanctions, PEPs and adverse media. The screening process also includes the analysis of the results
  • Filling of a Due Diligence Form in order to present a decision to Compliance and other stakeholders (if required) and make the final decision regarding the acceptance of the counterparty from a Due Diligence perspective. This decision will determine if the RMA key will be open, maintained or closed
  • Contribute to the continual improvement of the team, while ensuring that all new requests are logged accordingly, and escalating concerns or issues as needed
  • Abide by operational risk and control procedures and escalate incidents where necessary

  • The Sanctions and Embargoes Officer’s mission is to perform Due Diligences on the alerts that have been escalated by Level A, including perform necessary investigation and provide supporting documentation. Level B1 should provide a first advice regarding the possibility of clearing the alert and assign the alert for further review by level B2

  • Obtain all necessary information and documentation in compliance with Group policies and procedures

  • The Documentation Matching Analyst is responsible for checking the integrity and accuracy of the booking and help managing the subsequent risks undertaken by the business lines

Your Main Activities Are

  • Check FO booking to ensure all trades are captured in the systems and that the details are in line with documentations received from clients
  • Verify and match legal confirmations according to the ISDA (International Swaps and Derivatives Association) definitions, approved confirmation templates and other relevant industry recommendations and best practices
  • Ensure a correct archival of all incoming confirmations and monitor workflows to ensure incoming confirmations are prioritised accordingly and ensure timely matching of confirmations
  • Identify and solve financial and/or legal discrepancies on incoming confirmations
  • Resolve queries and exceptions where necessary, understanding the importance of effective escalation
  • Timely resolve mark-ups on outstanding trade confirmations

About the Team

  • The Matching teams’ primary function is to support the Trading and Sales desks through the matching of electronic and paper confirmations on a variety of products (vanilla, exotics, complex structures) and asset classes (Foreign Exchange, Money Market, Credit and Interest Rates Derivatives, Equity Derivatives, precious metals and other commodities)
  • The Matching teams perform a critical control role in the timely reconciliation of bookings with clients’ confirmations. The teams are also responsible for verbal and written affirmation of trade details with clients before the value date or the maturity of the concerned transactions
  • The teams ensure that all incoming confirmations are controlled, issues identified, reported and fixed by working closely with traders, sales people, legal and other relevant departments in the bank

  • The Documentation Matching Analyst is responsible for checking the integrity and accuracy of the booking and help managing the subsequent risks undertaken by the business lines

Your Main Activities Are

  • Check FO booking to ensure all trades are captured in the systems and that the details are in line with documentations received from clients
  • Verify and match legal confirmations according to the ISDA (International Swaps and Derivatives Association) definitions, approved confirmation templates and other relevant industry recommendations and best practices

About the Team

  • The Matching teams’ primary function is to support the Trading and Sales desks through the matching of electronic and paper confirmations on a variety of products (vanilla, exotics, complex structures) and asset classes (Foreign Exchange, Money Market, Credit and Interest Rates Derivatives, Equity Derivatives, precious metals and other commodities)
  • The Matching teams perform a critical control role in the timely reconciliation of bookings with clients’ confirmations. The teams are also responsible for verbal and written affirmation of trade details with clients before the value date or the maturity of the concerned transactions

  • Work with the team located in Lisbon and in London, in its effort to build a more quantitative infrastructure to support the analysis of sectors/companies/broader equity market

Your Main Activities Are

  • Maintain, and develop our centralised market data infrastructure to support trade idea generation, market analysis, communication to sales & trading
  • Continuously helping automate our process and develop tools to support and enhance

  • The Portugal Private Credit Center of Expertise team forms part of the wider Loan Solutions team within the Alternative Investors (AI) client line, working in collaboration with the Private Capital teams
